When a Family Needs a Family Office Head
The head of a family office administration brings the management of homes, staff, budgets and external contractors into one system and is accountable to the family for everything running without its constant involvement. Families most often come to us when they own several residences in different countries, a yacht, a private jet and a large staff, when personal and household matters are spread between different assistants, or when they are setting up a family office from scratch. For a family, it is not enough to find an experienced manager. What matters is a leader who combines the skills of a chief operating officer with the discretion of private service: someone who sets up procedures, handles reporting, coordinates lawyers, bankers and asset managers and keeps everything strictly confidential. These are the candidates we select for private families around the world.
Homes, apartments and villas in different countries need common standards: the family office head sets up management of every property and oversees the managers and budget of each home.
When a family employs dozens of people, from nannies and drivers to a yacht crew, it needs a leader responsible for hiring, schedules, procedures and performance reviews.
When a family office is just being formed, its head designs the structure, processes, document flow and reporting, and brings in the team and external partners.
For families who need transparent accounting: consolidated budgets, expense control across all assets, and work with banks, auditors and tax advisers.
Which family office heads we present to families
Before concluding the contract and discussing the request in detail, we can send you several management profiles as an example, however, their current availability and relevance for a specific vacancy will need to be clarified separately.
International recruitment of family office heads
A family office often operates in several countries at once: residences in Europe, property in the UAE, accounts, companies and staff in different jurisdictions. We recruit leaders with international experience, fluent English and the other languages required, the ability to coordinate lawyers and tax advisers across countries, and readiness to relocate or travel frequently with the family.
What the head of family office administration does
Responsibilities are always tailored to each household, yet most often include the following areas.
- Recruitment, onboarding, and supervision of the family office staff, as well as the domestic personnel across all residences.
- Development of operational regulations and global coordination of maintenance and support processes for all family assets.
- Implementation of team performance evaluation systems, business process auditing, and crisis management.
- Development and strict enforcement of security protocols and absolute confidentiality standards (including NDAs).
- Coordination of residence managers, personal assistants, and yacht and private jet crews.
- Organisation of family and staff relocations, and preparation of residences for seasons and visits.
- Strategic budgeting, consolidated expense tracking, and the provision of complex management reporting.
- Coordination of a pool of external experts (lawyers, auditors, bankers), as well as contractor management.
- Centralized maintenance of complex legal and financial documentation across all family assets, contracts, and accounts.
- Oversight of property, vehicle and staff insurance, and timely renewal of policies, licences and documents.
- Support for real estate transactions, construction and renovation projects, with control of timelines and budgets.
- Preparation of regular reports for family members and liaison with asset managers.
Additional responsibilities such as travel coordination or multi-property management are discussed individually and fixed in the agreement.
Why choose Royal Keeper when hiring a head of family office administration
We connect HNW families with proven heads of family office administration, providing access to specialists who manage complex households with precision and discretion
Royal Keeper maintains an extensive private database built over years of international work. Many experienced heads of family office administration do not publish their profiles publicly. This gives clients direct access to professionals unavailable through standard channels.
When a family office requires leadership, delays are not an option. Our established international network allows us to present qualified heads of administration within days, ensuring operations continue without interruption.
Should an administrator depart, we manage the transition discreetly and efficiently, sourcing a replacement who maintains established standards and family protocols without operational disruption.
When relocating to another country it becomes difficult to identify where to source a qualified head of family office administration, whom to trust and how to navigate local regulations. Royal Keeper operates internationally and assists in locating specialists across jurisdictions, taking into account language requirements, cultural context and legal procedures.
Over the years Royal Keeper has accumulated detailed professional histories of candidates. We verify previous places of employment, references from client families and the manner in which specialists handled complex administrative tasks. This allows us to exclude questionable or insufficiently experienced profiles before they reach the interview stage.
Most families who attempt to find a head of family office administration independently encounter the same challenges: lack of time, uncertainty about qualifications and the risk of an unsuitable appointment. Royal Keeper manages the entire process so clients can focus on their family and business rather than lengthy candidate screening.

Head of Family Office Administration
The head of a family office administration is the leader who manages all the operational affairs of a high-net-worth family: residences, staff, budgets, documents and the work of external specialists. This role is needed when a family owns several homes in different countries, employs a large staff, has a yacht or a private jet, and decisions on household matters and assets are made in different places with no one seeing the full picture. Unlike a household manager, who is responsible for one residence, a family office head runs the whole system: setting up processes, procedures and reporting and answering to the family for the results.
Royal Keeper recruits family office heads for families in Europe, the UAE, the USA and other countries. We consider candidates with leadership experience in family offices, private residence management, luxury service or operations management in large companies. Every candidate goes through in-depth interviews, an assessment of management skills, reference checks with previous employers and business reputation checks.
Key responsibilities include budgeting and consolidated expense tracking, staff management and recruitment, working with banks, lawyers, auditors and tax advisers, overseeing insurance, construction projects and real estate transactions, and maintaining strict confidentiality. The working arrangement is agreed with the family: a full-time leader in the family’s home city, a live-in role at the residence, or frequent travel between properties.
The agency helps define the role’s tasks and authority, set requirements for experience and languages, presents CVs of vetted candidates and arranges meetings with family members. The cost of recruitment and the level of compensation depend on the size of the family office, the country and the candidate’s experience — leave a request and a consultant will prepare a proposal for your needs.
